{"id":2462,"date":"2015-10-15T13:04:47","date_gmt":"2015-10-15T13:04:47","guid":{"rendered":"https:\/\/twproject.com\/support\/using-twproject\/connections\/external-calendars-outlook-google\/"},"modified":"2025-12-03T11:49:08","modified_gmt":"2025-12-03T11:49:08","slug":"external-calendars-outlook-google","status":"publish","type":"page","link":"https:\/\/twproject.com\/support\/twproject-advanced-usage\/connections\/external-calendars-outlook-google\/","title":{"rendered":"External calendars: Outlook, Google \u2026"},"content":{"rendered":"<h2>Synchronization of external calendars<\/h2>\n<p>As you probably know if you are a Twproject user, the integrated Calendar in the software allows you to manage project tasks more clearly and efficiently, scheduling meetings and events, inviting team members, and having an overview of activities and deadlines.<br \/>\nAlthough Twproject\u2019s Calendar already included some integration features with external calendars and email clients, the new release offers\u00a0<b>full synchronization between events across various calendars<\/b>\u00a0and interacts with project tasks and workloads.<br \/>\nWe will see how the calendar and external calendars can synchronize in real time, in both directions, significantly reducing the time spent registering events, tasks, working hours, etc., and allowing for a more realistic monitoring of workloads.<br \/>\n<img decoding=\"async\" class=\"alignnone size-full wp-image-4976\" src=\"https:\/\/cdn.twproject.com\/support\/wp-content\/uploads\/2025\/10\/twproject-calendar.webp\" alt=\"\" width=\"1589\" \/><\/p>\n<h2>Calendar Setup for Unified Management<\/h2>\n<p>From the Twproject Calendar options, you can set up the\u00a0<b>Calendar Configuration<\/b><br \/>\n<img decoding=\"async\" class=\"alignnone size-full wp-image-4976\" src=\"https:\/\/static.twproject.com\/support\/wp-content\/uploads\/2025\/10\/calendars-configuration.webp\" alt=\"\" width=\"1589\" \/><br \/>\nThen follow these simple steps:<br \/>\nChoose which external calendars to connect to the Twproject calendar: currently,\u00a0<b>Google Calendar<\/b>\u00a0and\u00a0<b>Office365<\/b>\u00a0are available.<br \/>\nSelect the service to synchronize and complete the authentication. You will see the external calendar integrate in real time within Twproject\u2019s weekly or monthly calendar view.<br \/>\nIt is possible to add more than one external calendar, of one or both types\u00a0<b>(Google and Office365)<\/b>, allowing you to coordinate activities recorded across multiple digital systems.<br \/>\nAfterward, you can select which external calendar will be the default calendar, where tasks recorded in the Twproject calendar will be sent.<br \/>\n<img decoding=\"async\" class=\"alignnone size-full wp-image-4976\" src=\"https:\/\/static.twproject.com\/support\/wp-content\/uploads\/2025\/10\/set-default-calendar.webp\" alt=\"\" width=\"1589\" \/><br \/>\nIn this regard, it is important to emphasize that not only do events from external calendars appear in the Twproject calendar, but tasks scheduled in Twproject are also automatically transferred to the default external calendar.<br \/>\nThe synchronization is bi-directional, thus optimizing work planning time and ensuring that no commitment is overlooked or forgotten.<br \/>\nIf your instance is On-Premise, for the integration to work Twproject must be accessibile from outside, so that it can receive the calls made by external services (Google or Microsoft Office). If you have any doubt, feel free to contact us!<\/p>\n<h2>Other way of integration<\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-5063 size-full\" src=\"https:\/\/twproject.com\/support\/wp-content\/uploads\/google-cal.png\" alt=\"\" width=\"1228\" height=\"543\" \/><\/p>\n<p>Another way to connect Twproject with your calendars is that it may send an <strong>iCalendar messages<\/strong> to your client whenever an event is created\/modified\/removed on Twproject\u2019s calendar.<\/p>\n<p>In order to make this possible you must check in your options:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-2106 size-full\" src=\"https:\/\/twproject.com\/support\/wp-content\/uploads\/options-send-event.png\" alt=\"options-send-event\" width=\"836\" height=\"194\" \/><\/p>\n<p>Following screens are from Outlook, but it works on every client.<\/p>\n<p>When the client receives an iCalendar message, it recognizes it, presenting the mail received as in the picture. The appointment will be put in Outlook&#8217;s calendar when received, and it will be possible to accept it or not.<br \/>\n<img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-5065 size-full\" src=\"https:\/\/twproject.com\/support\/wp-content\/uploads\/agendaGoogle.png\" alt=\"\" width=\"1014\" height=\"618\" \/><\/p>\n<p>Notice that if you update an event in Twproject, and resend it, Outlook will recognize it as an instance of the preceding event, and automatically update it &#8211; very nice!<\/p>\n<p><i>How to create an appointment on your client and send it to Twproject?<\/i><\/p>\n<p>We did this simply by making Twproject capable of downloading e-mail. Hence when you create your appointment in Outlook, you just &#8220;send&#8221; it to Twproject, by having among the attendees the Twproject\u2019s e-mail. If for example Twproject downloads e-mails at the <b>sample@intergeo.sample<\/b> address, put this e-mail among the attendees:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" style=\"display: inline; border: 0px;\" title=\"\" src=\"https:\/\/twproject.com\/support\/wp-content\/uploads\/2014\/01\/clip_image0151.jpg\" alt=\"\" width=\"410\" height=\"132\" border=\"0\" \/><\/p>\n<p>A suggestion: manage the events where they are created. If you create an event on Twproject if you have to change it the best way is to change it on Twproject. Similarly if you create an event on your client, modify it there, not in Twproject.<\/p>\n<p>All e-mail downloaded gets logged in Twproject\u2019s e-mail log: see <a title=\"Logging\" href=\"https:\/\/twproject.com\/support\/logging\/\">Logging<\/a>.<\/p>\n<h2>Google calendar<\/h2>\n<p>There are other options regarding calendar. You can publish your whole Twproject calendar on a web-based calendar service like Google calendar.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-5066\" src=\"https:\/\/twproject.com\/support\/wp-content\/uploads\/tw-cal-google.png\" alt=\"\" width=\"452\" height=\"176\" \/><\/p>\n<p>To do this go to your options and copy the proposed address into your on-line service<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-5067\" src=\"https:\/\/twproject.com\/support\/wp-content\/uploads\/cal_option.png\" alt=\"\" width=\"1307\" height=\"631\" \/><\/p>\n<p>In the same option page you can set the ical link to your external calendar, that will be alwys visible in an overlay. You can also add it from the other calendar button in the agenda settings icon.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-5068\" src=\"https:\/\/twproject.com\/support\/wp-content\/uploads\/external-ical.png\" alt=\"\" width=\"581\" height=\"126\" \/><\/p>\n<p>For Google calendar, you will\u00a0find the url on the Google calendar setting.<br \/>\nUse the\u00a0private address.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2467\" src=\"https:\/\/twproject.com\/support\/wp-content\/uploads\/screen1024.jpg\" alt=\"screen1024\" width=\"1205\" height=\"124\" \/><\/p>\n<p>The external calendar appointments will appear on a different color.<\/p>\n<h2>iPhone calendar<\/h2>\n<p>This works similarly as above: the URL seen when selecting \u201cother calendars\u201d can be sent by e-mail to your iPhone (click on <img loading=\"lazy\" decoding=\"async\" style=\"display: inline; border: 0px;\" title=\"\" src=\"https:\/\/twproject.com\/support\/wp-content\/uploads\/2014\/01\/clip_image022.png\" alt=\"\" width=\"18\" height=\"16\" border=\"0\" \/>; if it does not appear, it\u2019s because you haven\u2019t set an e-mail on your Twproject user).<\/p>\n<p>Then when the e-mail is received on the iPhone, the link will be recognized as a \u201ccalendar\u201d link:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"img-no-border alignnone wp-image-2117 size-full\" src=\"https:\/\/twproject.com\/support\/wp-content\/uploads\/calendar-iphone-client.png\" alt=\"calendar-iphone-client\" width=\"1125\" height=\"627\" \/><\/p>\n","protected":false},"excerpt":{"rendered":"<p>Synchronization of external calendars As you probably know if you are a Twproject user, the integrated Calendar in the software allows you to manage project tasks more clearly and efficiently, scheduling meetings and events, inviting team members, and having an overview of activities and deadlines.
