{"id":22640,"date":"2025-02-19T09:32:54","date_gmt":"2025-02-19T09:32:54","guid":{"rendered":"http:\/\/twproject.com\/site\/\/?post_type=customers&#038;p=22640"},"modified":"2025-07-08T11:11:26","modified_gmt":"2025-07-08T11:11:26","slug":"advance","status":"publish","type":"customers","link":"https:\/\/twproject.com\/customers\/advance\/","title":{"rendered":"Advance"},"content":{"rendered":"\n<h3 class=\"wp-block-heading\">The challenge<\/h3>\n\n\n\n<p>From building software and managing networks to implementing off-the-shelf tools, Advance has been helping clients get the most from their technology for over 25 years.<\/p>\n\n\n\n<p>Advance is a niche strategic consultancy that offers the services of a large firm, and that made it difficult to find a project management tool that was a good fit.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>\u201cOur old system was focused on ticketing and issue management and did that well, but we were getting into complex software development and rolling out software. It wasn\u2019t helping us plan projects because it wasn\u2019t built for software development.\u201d<\/p>\n<\/blockquote>\n\n\n\n<p>John-Paul knew that project managers were spending half of every day shuffling tickets on a Kanban board.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>\u201cI was looking for something that would take away the overhead of managing projects and that would help my project management experience be an easier experience.\u201d<\/p>\n<\/blockquote>\n\n\n\n<p>Advanced needed a tool like Twproject to <strong>view and manage ToDo tasks in a simple and immediate Kanban format<\/strong>.<\/p>\n\n\n\n<div style=\"height:50px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1030\" height=\"688\" src=\"https:\/\/twproject.com\/site\/wp-content\/uploads\/2022\/04\/advance-image-1030x688.jpg\" alt=\"Advance IT company\" class=\"wp-image-18944\"\/><\/figure>\n\n\n\n<blockquote class=\"wp-block-quote has-large-font-size is-layout-flow wp-block-quote-is-layout-flow\">\n<p>We get a lot more visibility towards what\u2019s going on. Projects are running more smoothly, people find it easy to do timesheets and the system gets used.<\/p>\n<\/blockquote>\n\n\n\n<h3 class=\"wp-block-heading\">Approach<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Implementation: <\/strong>Advance opted for an out-of-the-box set up of Twproject with a few <strong>custom fields and the team found the process straightforward<\/strong>.<\/li>\n\n\n\n<li><strong>Flexible project management: <\/strong>Some project managers create detailed <strong>Gantt charts<\/strong>; others use <a href=\"https:\/\/youtu.be\/uO1d8s-abkE?si=j7MccpKDoOBjQKCI\"><strong>Kanban view<\/strong>s<\/a> for task management. <strong>Twproject is flexible enough to do both<\/strong>.&nbsp;<\/li>\n\n\n\n<li><strong>Clients:<\/strong> The Advance team made the assumption that it was important to have access for customers. However, customers didn\u2019t agree! Client accounts are available but not heavily used.<\/li>\n\n\n\n<li><strong>Organizational knowledge: <\/strong>Client and <strong>project information is centrally stored<\/strong> and easy to find instead of buried in email, Slack or manual notes, creating a searchable knowledge repository for the future.<\/li>\n\n\n\n<li><strong>Ongoing management: <\/strong>The solution had to be <strong>manageable without a PMO<\/strong> or system administrator dedicated to making it work.&nbsp;<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Results<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>More visibility for client-centric project tracking<\/li>\n\n\n\n<li>Managing projects feels smoother and takes less time<\/li>\n\n\n\n<li>Users no longer need to be chased for timesheets<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\">Increased visibility<\/h4>\n\n\n\n<p>Since implementing Twproject, <strong>customer and project data is easier to find as everything is kept tagged and linked within the system<\/strong>.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>\u201cFull-text search capability is \u2018fantastic.\u2019 Tags provide an easy way to track and categorize activities. I can raise a ticket and tag it \u2018ask customer\u2019. The software developers love using the tags. Reducing the time spent looking for data means the team can focus on tasks that drive customer results.\u201d<\/p>\n<\/blockquote>\n\n\n\n<h4 class=\"wp-block-heading\">Lower overhead with better control<\/h4>\n\n\n\n<p>The Advance team reduced the admin associated with keeping their project management tool up-to-date by using fit-for-purpose features and tailoring for the approach to the project. They no longer have to try to manage within the constraints of their old tool. <strong>Twproject is flexible enough to offer predictive and iterative project<\/strong> tracking tools that allow for comprehensive project control when needed such as staying on top of customizations for clients, as well as informal task management.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>\u201cTwproject has the ability to use different mechanisms to know how you\u2019re progressing on a project \u2013 and we didn\u2019t have that before,\u201d says John-Paul. \u201cWe can see when there\u2019s issues and when there\u2019s things that are causing concern. The people leading the projects have got greater visibility over where their projects are at.\u201d<\/p>\n<\/blockquote>\n\n\n\n<h4 class=\"wp-block-heading\">Increased compliance for timesheets<\/h4>\n\n\n\n<p>Twproject\u2019s streamlined approach for managing timesheets helped with user adoption as the <strong>Advance team found it so easy to <a href=\"https:\/\/youtu.be\/v4OJhOdybbI?si=cJ8Pd9HQYd3AzIe6\">track their time<\/a><\/strong>. Twproject removed the overwhelm felt by staff who were assigned to dozens of projects but only actively working on a few. Hiding projects creates a user-friendly interface that minimizes on-screen clutter.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>\u201cThat helped bring people in. I used to chase people more regarding their tasks. Now I rarely have to do it.\u201d<\/p>\n<\/blockquote>\n\n\n\n<h3 class=\"wp-block-heading\">The bottom line<\/h3>\n\n\n\n<p>Since implementing Twproject, Advance has been able to improve and scale its approach to capturing project and client data, <strong>reduce the amount of time the team spends on the administrative aspects of project control and flex project approaches to better fit the work and the customer<\/strong>.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote has-large-font-size is-layout-flow wp-block-quote-is-layout-flow\">\n<p>Twproject is really good when managing a number of projects and they are quite different.
