{"id":17914,"date":"2022-06-14T09:23:32","date_gmt":"2022-06-14T09:23:32","guid":{"rendered":"https:\/\/twproject.com\/blog\/?p=17914"},"modified":"2023-11-09T11:35:07","modified_gmt":"2023-11-09T11:35:07","slug":"project-costs-everything-under-control","status":"publish","type":"post","link":"https:\/\/twproject.com\/blog\/project-costs-everything-under-control\/","title":{"rendered":"Project costs: everything under control"},"content":{"rendered":"\n<p>A successful project must not only be on time, but also on your budget.<\/p>\n\n\n\n<p>In this article we will see how <strong>Twproject manages project costs<\/strong>.<\/p>\n\n\n\n<p>The overall cost of a project depends mainly on the scope of application; the list of items contributing to the total will be very different between a consultancy project, a building construction project or an R&amp;D project.<\/p>\n\n\n\n<p>We can identify two categories of costs: those related to the people involved (resources) and those related to material goods (or &#8220;lump sum&#8221; services) necessary for the execution of the project.<\/p>\n\n\n\n<p>For the resources we will have both the costs of the work done (simplifying: hours worked x hourly cost) and any costs incurred by the resource for carrying out the work (expense notes).<\/p>\n\n\n\n<p>For all these entries Twproject collects both <strong>estimated <\/strong>and <strong>actual values<\/strong>. These data compared with the expected <strong>budget <\/strong>will give a complete picture of the progress of the project from an economic point of view.<br>A simple management of<strong> expected and actual revenues<\/strong> will also allow an estimate on the cash flow.<\/p>\n\n\n\n<p>Let see in detail how it works.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Resources: the hourly cost<\/h2>\n\n\n\n<p>Each resource has its own hourly cost which depends on many factors (duties, seniority, etc.). Its definition is beyond the tasks of the PM.<br>Once this cost has been determined, it can be entered in the user card:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"806\" height=\"379\" src=\"https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/Resource_hourly_cost_1.png\" alt=\"\" class=\"wp-image-17864\" srcset=\"https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/Resource_hourly_cost_1.png 806w, https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/Resource_hourly_cost_1-400x188.png 400w, https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/Resource_hourly_cost_1-705x332.png 705w\" sizes=\"auto, (max-width: 709px) 85vw, (max-width: 909px) 67vw, (max-width: 984px) 61vw, (max-width: 1362px) 45vw, 600px\" \/><figcaption>Resources: hourly cost and cost center<\/figcaption><\/figure>\n\n\n\n<p>It is quite common to insert a &#8220;standardized&#8221; cost instead of the actual cost of the resource, in order to solve the problem of the exact calculation which could be complex.<br>In this editor you can also assign the resource to a cost center for cross-project analysis.<\/p>\n\n\n\n<p>To simplify data input, in Twproject, both the hourly cost and the cost center (but also the working time) can be defined at the resource, department or company level; in this way the value will be inherited unless otherwise specified.<\/p>\n\n\n\n<p>Resource&#8217;s cost will be entered only once, as it represents the &#8220;business cost&#8221; and will be the same on all projects in which this resource will be involved.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Resource costs: the cost of work<\/h2>\n\n\n\n<p>On each project, phase, sub-phase, etc. you can indicate resources that are involved through <strong>the assignment<\/strong>.<br>The <strong>project estimation<\/strong> is specified during the assignment phase (100 hours in the example below).<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"784\" height=\"93\" src=\"https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/image.png\" alt=\"\" class=\"wp-image-17866\" srcset=\"https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/image.png 784w, https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/image-400x47.png 400w, https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/image-705x84.png 705w\" sizes=\"auto, (max-width: 709px) 85vw, (max-width: 909px) 67vw, (max-width: 984px) 61vw, (max-width: 1362px) 45vw, 600px\" \/><figcaption>Project: resource assignment phase<\/figcaption><\/figure>\n\n\n\n<p>Entering the expected hours, the estimated cost of this assignment will be computed using the actual resource hourly cost.<\/p>\n\n\n\n<p>Each time a resource enters the hours worked on the project, a phase or a ToDo, the total will be updated on the project, thus generating a real cost that we could then compare with the one entered in the estimation phase.<\/p>\n\n\n\n<p>In Twproject there are many ways to<strong> <a href=\"https:\/\/twproject.com\/blog\/timesheet-time-tracking-twproject\/\" target=\"_blank\" rel=\"noreferrer noopener\">enter the hours worked<\/a><\/strong>; the timesheet (weekly, bi-weekly, monthly), the start \/ stop buttons on projects and ToDo, while closing a ToDo etc.<br>It&#8217;s a very <strong>quick and easy operation<\/strong>.<\/p>\n\n\n\n<p>One &#8220;worker hour&#8221; record, brings with it the hourly cost and the cost center of the resource at the date of insertion. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Resource costs: expense reports<\/h2>\n\n\n\n<p>An expense item related to resources is the expenses report.<br>For some projects it is a non-negligible cost item and Twproject takes it into account; both in the estimation and reporting phases.<\/p>\n\n\n\n<p>Expense reports and work costs close the resources related costs.<br>The summary dashboard looks like this:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"840\" height=\"217\" src=\"https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/image-2-840x217.png\" alt=\"\" class=\"wp-image-17871\" srcset=\"https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/image-2-840x217.png 840w, https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/image-2-400x103.png 400w, https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/image-2-705x182.png 705w, https:\/\/twproject.com\/blog\/wp-content\/uploads\/2022\/05\/image-2.png 973w\" sizes=\"auto, (max-width: 709px) 85vw, (max-width: 909px) 67vw, (max-width: 1362px) 62vw, 840px\" \/><figcaption>Resource cost summary<\/figcaption><\/figure>\n\n\n\n<p>For each resource we find the estimated hours, the hours worked, the hourly cost, the equivalent amounts, personal budget, total expenses incurred. This is the data that comes to the PM from the commercial negotiation.<br>On the &#8220;<strong>Estimated<\/strong>&#8221; line we will read how much margin we still have to stay in the estimated: depending on the phase of the project (start, ongoing or completed) it can be used in different ways, but in any case it depends on the quality of the estimates made by the PM (or by the project team).<br>The last line &#8220;<strong>Actual<\/strong>&#8221; also takes on different meanings depending on the phase, but upon completion it will tell us the profit we will &#8220;take home&#8221; with the project.<\/p>\n\n\n\n<p>Even for what concerns the budget, it is possible to indicate it both at project level and at phases \/ sub-phases.<br>This approach, especially on very complex projects, together with the refined security management of Twproject, allows you to implement a delegation mechanism, in which the PMs of the underlying phases can manage their own budget.<\/p>\n\n\n\n<p>With Twproject you can analyze costs, expense reports and cross-project hours worked with dedicated tools.
